Financial stamp maker for accounts, banking and audit
A financial stamp maker for the marks an accounts department presses: PAID, RECEIVED, POSTED and CHECKED, each carrying a date that fills itself in and a reference number that is never issued twice.
A finance stamp is the one place where the number on the impression matters more than how the impression looks. A voucher number that appears on two documents is not untidy, it is an audit finding, and the usual way it happens is an image with a number drawn into it that somebody reused. Everything on this page is built around that: the number comes from a counter on the server, not from the picture.
What you get
- PAID, RECEIVED and POSTED stamps with the date resolved when the stamp is used, so a payment stamp records the day of payment rather than the day the file was made.
- A voucher or reference number taken from a counter held in the database and incremented under a row lock. Two people stamping from two machines at the same moment get different numbers, which is the property an audit trail actually needs.
- A checked-by stamp with a name and a date line, for the second pair of eyes that a payment run is supposed to pass through.
- A bank stamp layout with the branch and the teller line, sized like the rectangular block a counter actually uses rather than a round seal.
- A Word download where the date, the time and the reference stay editable text, so a finance team working in Word retypes a field instead of asking for a new image.
- A transparent PNG for stamping the PDF invoice directly, since most of these documents now arrive and leave as PDFs and never touch paper.
How to make it
- Open the stamp maker and pick a shape, or start from a template.
- Type your wording, then set the colour, border and size.
- Add the date, time, serial number or logo, and position each one.
- Preview it live, then download. Designing and previewing are free.
Questions
What is a financial stamp used for?
Marking what has happened to a document and when. PAID on a settled invoice, RECEIVED on an incoming one, POSTED once it is in the ledger, CHECKED once someone has reviewed it. The value is that the state of a document is visible on the document rather than only in a system somebody else has to open.
Why does the serial number need a server?
Because a number drawn into an image is a picture of a number. Nothing stops the same file being used twice, and nobody notices until a reconciliation finds two vouchers sharing a reference. A counter held server side and incremented under a lock cannot issue the same number twice, no matter how many people are stamping at once.
Can I put our accounts department name on it?
Yes, and it is worth doing. A PAID stamp with no origin says a payment happened; one naming the company and the department says who says so. Add a name line for the person approving, and the stamp records the approval rather than just the fact.
Does this work for a bank stamp?
Yes. A bank stamp is usually rectangular with the branch name, a date line and a teller or officer reference, which is a different shape from a company seal but the same set of controls. Set the shape to rectangle, add the date line and the reference, and size it to the block your counter uses.
Can the date be a fixed one instead?
Yes, and for a financial stamp it often should be. Leave the date field empty and it fills in on use, which is right for a stamp pressed every day. Type a date and it stays fixed, which is right when the stamp records that something happened on a particular day, such as a period end or a specific payment run.
