Every preview on this page carries a faint Estamplab watermark. Your own download does not: the editor renders your stamp again, clean, as a transparent PNG, an SVG or a PDF. See the full template library.
A received stamp exists to answer one question later: when did this arrive. That makes the date the whole point, and it is the part that goes wrong most often, because a physical date stamp has to have its bands turned every morning and a picture of a stamp carries whatever date it was made with. Here the date and time resolve at the moment you use it, so the mark records the truth without anybody having to remember.
What you get
- Date and time fill themselves in, so the mark is the moment of receipt rather than the moment the stamp was designed.
- A reference or docket number can be part of the stamp, for a mailroom that logs what it marks.
- Room for initials, so the record shows who received it as well as when.
- The top-right corner by default, where a received stamp is looked for.
- Works on the PDF the email came with, and on a scan of a delivered envelope.
- For a mailroom running volume, the bulk service marks a whole intake in one pass.
How to make it
- Open the tool and drop your PDF or Word file onto the page.
- Pick a stamp from your library, or design one in the pop-up designer.
- Click the page where the stamp goes, then drag it or resize it from the corner.
- Download the stamped copy. Your original file is never modified.
Questions
Should a received stamp have the time on it?
On anything with a deadline, yes. A tender that closes at noon and a filing cut-off at 5pm both turn on the hour, and a date alone cannot show whether you were inside it.
Does the date update every time I use the stamp?
Yes, if you leave the date to fill itself in. Each stamped document takes the date and time at that moment. Type a date instead and it stays fixed.
Where does a received stamp go on the page?
Top right of the first page is the convention, clear of the letterhead and where anybody handling the file will look first.
Is a received stamp proof of receipt?
It is your record of receipt, which is what it is for. It records what your organisation did with the document and when, which is what an audit of your own process asks about.
Can I mark a hundred documents in one go?
Not one at a time, sensibly. The bulk service handles an intake run and can number them in sequence at the same time.
Estamplab is a design tool. This page describes common commercial practice rather than giving legal, tax or financial advice, and practice changes. Where a specific document matters, check the requirement with the body receiving it. Only produce a mark your own organisation or your own credentials are entitled to use.
