An approval that lives in an email thread is an approval nobody can find in six months. Putting it on the document is how it survives: the drawing, the invoice or the purchase order carries the mark, the date and the name of whoever signed it off, and anybody opening the file later can see the decision without reconstructing a chain of replies.

Questions

What should an approved stamp include?

The word, the date, and the name and role of the approver. On construction and engineering work, the revision number belongs on it too, because approving revision B says nothing about revision C.

Can I have more than one outcome?

Yes. Approved, approved as noted, revise and resubmit, and rejected are the four a submittal review normally needs, and each can be a saved stamp you reuse.

Does an approval stamp carry authority?

Only the authority the approver actually holds. The stamp records a decision made by somebody entitled to make it; it does not create the entitlement. Only apply an approval stamp you are authorised to use.

Where should it go on a drawing?

Over or beside the title block, which is where a reviewer expects it and where it will not cover the drawing itself.

Can I approve every sheet in a set?

Yes, one on every page in a single action, then adjust or remove individual ones.
