Every preview on this page carries a faint Estamplab watermark. Your own download does not: the editor renders your stamp again, clean, as a transparent PNG, an SVG or a PDF. See the full template library.

A company stamp is not decoration, it is identification, and that is what separates it from any other mark on the page. It carries the registered name, the number the company is registered under, and the town of the registered office, which is exactly the set of details a counterparty checks when they want to know who they are actually dealing with. Getting those onto a PDF is a two minute job that most people still solve with a printer.

Questions

What should a company stamp on a PDF carry?

The registered company name in full including the legal form, the registration or tax number your jurisdiction uses, and the town of the registered office. Bank details do not belong on it: they change more often than the stamp, and a stamp with a stale account number on it is worse than no stamp.

Where does the company stamp go on a contract?

Beside the signature, usually overlapping the bottom-left corner of it, so the stamp touches the signature without covering the printed name. On a multi-party contract each party stamps beside their own signature.

Should the stamp go on every page?

It depends who is asking. Many counterparties want the signature page stamped and each other page initialled. Some, particularly in tender and government work, want the stamp on every page, and this does that in one action.

Is a stamped PDF legally binding?

The stamp is not what binds it. What binds a contract is agreement and, where required, execution in the prescribed form, which for electronic documents usually means a signature rather than a stamp. The stamp identifies the company and is expected commercially. This is a design tool describing common commercial practice, not legal advice, so check anything specific with your own adviser.

Who may apply the company stamp?

Only somebody authorised to use it on behalf of that company. Applying another company stamp, or your own without authority, is not a formatting question.

Estamplab is a design tool. This page describes common commercial practice rather than giving legal, tax or financial advice, and practice changes. Where a specific document matters, check the requirement with the body receiving it. Only produce a mark your own organisation or your own credentials are entitled to use.
