An office runs on about six stamps and everybody knows which six: RECEIVED with the date, APPROVED, PAID, COPY, CONFIDENTIAL and the company chop. The reason they are stamps rather than typing is speed and consistency: a mark that looks the same on every document is a mark that means something on every document. Questions
What stamps does an office need?
A dated RECEIVED stamp for incoming post, APPROVED and PAID for the finance side, COPY or CERTIFIED TRUE COPY for duplicates, CONFIDENTIAL for anything circulated internally, and the company chop for anything going out. Most offices need nothing else.
Can several people use the same office stamp?
Yes. The stamp is a file, so it can be shared with whoever needs it. Where a stamp carries a serial number, keep the numbering on one account so the counter stays in one place and no number is issued twice.
What colour should an office stamp be?
Blue or black for anything that has to survive being photocopied, red for anything meant to stop somebody, like CONFIDENTIAL or VOID. Consistency matters more than the specific choice.
Can I match our existing rubber stamp?
Usually close enough that nobody asks. Match the shape, the wording and the colour, and the aged effect takes the machine-perfect edge off the print so it reads as a stamp rather than as clip art.
