Company stamp maker for Poland
No Polish statute requires a pieczątka firmowa, but it is so embedded in commercial and administrative practice that documents without one are routinely returned.
Poland is the clearest European case of a stamp that is universal without being required. Deregulation removed the formal obligation, and nothing changed on the ground: banks, offices, contractors and counterparties still expect the pieczątka beside the signature, and a document arriving without one gets queried rather than accepted.
What a company stamp in Poland usually carries
- The company name in full, with the legal form such as sp. z o.o., S.A. or JDG.
- The NIP, the ten-digit tax identification number.
- The REGON, the statistical number, and often the KRS entry for registered companies.
- The registered address, which is why Polish stamps are usually rectangular and multi-line.
Why make it digitally
- Three separate identifying numbers plus an address is more than a round seal holds, and a rectangular digital stamp lays them out cleanly.
- Any of those details changing means a re-cut in rubber and an edit here.
- Sole traders and small companies often need one the same day they register.
Questions
Is a pieczątka legally required in Poland?
No. There is no statutory obligation to own or use one. In practice banks, public offices and most counterparties expect it, so the commercial requirement is real even though the legal one is not.
Which numbers belong on it?
The NIP is the one most often checked. REGON is standard alongside it, and a company registered in the KRS usually adds that number too. Sole traders normally show NIP and REGON.
Round or rectangular?
Rectangular, almost always. A Polish company stamp carries a name, a legal form, an address and up to three numbers, which does not fit around a ring.
This describes common commercial practice rather than giving legal advice, and practice changes. Where a specific document matters, check the requirement with the body receiving it.
