You are on a site, in a taxi, at a client office or three time zones from your desk, and somebody needs a stamped document today. The stamp is in a drawer four hundred kilometres away. That is the moment people search for a portable stamp, and it is worth knowing that the problem was solved in a different way than they expect.
What a portable stamp used to mean
A pocket stamp: a small self-inking or pre-inked rubber stamp you carry. Site engineers, surveyors, inspectors, notaries and sales reps have carried them for decades, and they work, right up until they do not.
The failures are always the same. The ink dries out between uses, so the first impression of the day is a ghost. It leaks in a hot bag. The pad wears and the edges go furry. It gets left in the other jacket. And the moment the document you need to stamp is a PDF on a phone, a physical stamp cannot help you at all: you would have to find a printer, print, stamp, find a scanner, scan and email, which is four devices you do not have.
What portable means now
The seal is a file, and it goes wherever your phone goes.
Open the document in a browser, place the stamp on the page with your finger, download or share the stamped copy. Nothing is posted, nothing dries out, and nothing is left behind, because there is nothing physical to leave. That is what a portable stamp, a portable seal or a seal on the go actually looks like now.
- Works on the document itself. PDF, Word or Excel, stamped as a file rather than as paper.
- Works from a phone. The pages are laid out on screen, and you place the stamp by tapping the spot.
- Nothing is uploaded. The file is opened in your own browser, which matters when the document is a client contract and you are on hotel wifi.
- The date fills itself in. A dated stamp records the day you actually stamped it, wherever you were.
- It cannot be lost. A rubber stamp left in a taxi is gone and has to be re-ordered. A file is on the next device you sign into.
Who is actually asking for this
Site and field staff. Engineers, surveyors and inspectors signing off inspection reports and delivery notes away from an office.
Sales and account teams. A quote or an order form that needs the company chop before the client changes their mind, from a hotel or an airport.
Directors and owners travelling. Board minutes, resolutions, invoices and letters that cannot wait a week for a return flight.
Anybody who has just realised they left the stamp behind. Which is most of the traffic to this page, and there is no judgement in it.
Portable rubber stamp or digital stamp
Keep the rubber one if you stamp paper in front of people: a passport queue, a delivery book, a receipt pad. Nothing digital beats a physical impression on physical paper handed back across a counter.
Use the digital one for everything that arrives as a file, which is nearly everything else now. A great many people end up with both, and the rubber one gradually stops leaving the office.
Making one that travels well
Three things matter more on a phone than they do at a desk.
Size it properly. Around 40mm across. On a phone screen everything looks fine, and then it arrives on somebody A4 printout looking like a sticker.
One solid ink, dark. Blue or black. A pale stamp is the one that vanishes when the document is printed or scanned at the other end.
Turn the date on. It is the single most useful thing on a stamp used away from the office, because it records where you were in time even when you cannot remember which day the site visit was.
What it does not do
It does not make a document legally binding that would not otherwise be, and it does not replace a signature where a signature is required. A stamp is evidence of who issued a document. Where a specific form, a wet signature or a physical seal is required, that requirement comes from the law that governs the document or from the party asking, and it is worth checking with them rather than assuming. And a stamp should only ever represent a business you are authorised to act for.
