A band stamp is a stamp with rubber bands in it. Each band is a wheel of characters, and you turn each wheel by hand until the right one is under the window. Everything good about the article and everything wrong with it follows from that single fact.

What a band stamp actually is

The common ones are dial daters: three bands for day, month and year, sitting inside a fixed die that carries the wording. The wording is cut once and never changes. The bands change every morning, or every time somebody remembers.

A custom band stamp is the same idea with your own die around it: your company name, a RECEIVED or PAID line, sometimes a signature block, with the date wheels set into the middle. That is what the phrase means when a supplier quotes for one.

Beyond dates, band stamps also come as numbering bands, where the wheels carry digits and are advanced by hand or by a ratchet.

Why the date is wrong so often

Because turning three wheels is a task, and a task somebody has to remember to do before the first document of the day.

The failure modes are boringly consistent. The stamp is set for yesterday because nobody has touched it yet. The month band is turned and the year band is not, on the second of January, which produces a date that is out by a year and looks perfectly plausible. Somebody turns a band while lifting the stamp and prints a date that never existed. A second person uses it after the first has set it forward for a post-dated document.

None of these are user error in any useful sense. They are what happens when a mechanical setting has to be maintained by whoever picks the thing up. The longer version of this problem has the cases that end in an argument.

What one costs to run

The purchase price is the small part. A custom band stamp is a die and a mechanism, so it costs more than a plain stamp up front, and then it costs an ink pad every few months, a replacement pad holder eventually, and a whole new stamp the day the address changes or the company name gains a Ltd.

The bands themselves wear. On a busy counter the day band is the first to go, and a worn band prints a digit that could be a 3 or an 8, which is exactly the digit somebody needs to read two years later. The true cost of a rubber stamp counts this properly.

The digital equivalent

The same layout, with the date as a field rather than a wheel. You type the fixed wording once, and the date fills itself in when the stamp is used, so there is no band to turn and nothing to forget. It stays editable in the Word download if you need to back-date a record deliberately and say so.

That is the automatic date stamp generator, and the date stamp generator is the plain version. For the numbering bands, the auto numbering rubber stamp does the equivalent job with a number that cannot be issued twice.

When the physical band stamp is still right

When the document is paper, stays paper, and is stamped in front of the person handing it over. A counter that stamps a hundred paper receipts an hour is not going to open a PDF for each one, and a mechanical dater is the right tool for that job.

The moment the document arrives as a file, the physical stamp becomes a print, a press and a scan, and every one of those steps loses something.

Making the layout

  1. Open the stamp maker and start from the date stamp or the received stamp.
  2. Type the fixed wording: the company name, the department, the word RECEIVED or PAID.
  3. Add the date field where the bands would have been.
  4. Add a line for initials if somebody has to be answerable for the mark.
  5. Download it, or put it straight onto the PDF.

The rest of the family, including the marks that pair with a dater on a counter, is in the full list of stamp and seal types.
