Why your date stamp shows the wrong date

Somebody makes a received stamp in March. In September a contract arrives, gets stamped, and goes into the file. Nine months later there is a dispute about when it arrived, the file comes out, and the stamp says March.
This is the most common failure in digital stamping, and it is not carelessness. It is what almost every tool does by default.
Why it happens
A physical self-inking date stamp has rotating bands for day, month and year. They are set by hand. That is annoying, and it is why documents get stamped with yesterday's date on the morning nobody remembered to turn the wheel. But the mechanism at least admits the date is a variable.
Most digital stamp makers do not. You type a date into a field, the tool draws it into the image, and the image is finished. The date is now pixels. It is no more a date than a photograph of a clock is the time.
For a company seal that is fine, because a seal does not claim to record when it was applied. For anything with a date on it, the tool has quietly turned a variable into a constant, and nothing on the stamp tells you which.
Where it actually matters
Received stamps. The date is the assertion. A tender that closed at noon, a filing deadline, a notice period that runs from receipt. If the date is wrong the stamp is worse than no stamp, because it is now evidence of the wrong thing.
Certified true copy stamps. The certification is that on a particular day a person compared this copy against an original. A date fixed at design time says the check happened months before the document existed.
Affidavits and oaths. An affidavit records a statement sworn on a particular day. The date is not decoration.
Anything that gets audited. An auditor who spots a batch of documents stamped with identical dates spread across a year has found something they will keep pulling at.
How to tell whether your stamp has the problem
Make a stamp with a date. Download it. Wait a day. Download it again without changing anything.
If both files show the same date, the date is baked in. That is the answer for most tools, and it is worth knowing before you rely on one.
What the fix looks like
The date has to be resolved when the stamp is used rather than when it was designed. That means the stamp is stored as a description, "put today's date here, in this format, at this position", and the image is generated at the moment you ask for it.
The same applies to time, which matters more than people expect. On a deadline that falls at noon, the hour decides whether something was in time and the day does not.
What to do if you are stuck with a fixed-date stamp
If changing tools is not an option:
- Keep the date off the stamp entirely and write it by hand next to the impression. An honest handwritten date beats a confidently wrong printed one.
- Or regenerate the stamp on the day you use it, every time, and never reuse yesterday's file.
Both are worse than a stamp that fills its own date in, but both are better than a file quietly asserting the wrong day for months.
The underlying point
A stamp is a claim about a document: this was received, this was approved, this was compared against an original. A date attached to that claim is part of it.
Ask of any stamping tool: at what moment is this value decided? If the answer is "when you designed it", you have a picture. If the answer is "when you used it", you have a record.
