Certified true copy stamps: the wording that has to be there

A certified true copy mark is a statement: I have seen the original, this is a true copy of it, and here is who I am. It is the only common office stamp where the person pressing it is putting their name to something, which is why the wording matters more than the layout.

The four things it has to carry
1. The certification wording. "Certified true copy of the original" or the wording your jurisdiction expects. Some receiving bodies publish the exact sentence, and where they do, use theirs.
2. A signature line. Not a printed name. A certification is an act by a person, and a mark that certifies without a signature is asserting something nobody has signed.
3. The certifier's name, position and capacity. Who they are and on what basis they may certify. A firm name alone does not certify anything.
4. The date. The date the copy was compared to the original. It is the line most often left blank and the first one a registry queries.
Everything else, the seal ring, the border, the emblem, is presentation.
Who may certify a copy
This is the part that differs by country and by document, and it is the part people assume. In some jurisdictions a notary, a commissioner for oaths or a lawyer; in others also a bank officer, an accountant, a doctor, a school head or a serving public officer. For documents going abroad, the receiving body often names who it will accept, and that list is narrower than the domestic one.
So the practical rule: read the instruction from whoever is going to receive the document, and match the certifier to it. A perfect stamp applied by somebody the receiving body does not accept is a wasted trip.
Layout, and why a rectangle usually wins
The mark carries a sentence, two or three fields and a signature line. That is a block of text, and a block of text belongs in a rectangle. A round seal forces the sentence into ring text, where it is harder to read and the signature line has nowhere to go.
The round version earns its place when the certification is an institutional one and the mark doubles as the institution's seal. Both are on the certified true copy stamp page, and the certified true copy stamp maker has the field layout.
On copies that were never paper
A scan certified as a true copy of a paper original is routine now, and the mark goes on the PDF rather than on a print of it. Applying it to the file directly keeps the certification legible; printing, stamping and rescanning degrades the certification and the document together.

The honest limits
Estamplab is a design tool. This page describes common practice rather than giving legal advice, and who may certify what differs sharply between jurisdictions and between documents. The requirement is set by the authority receiving the document, so check it with them.
A stamp does not make a certification valid. The person applying it does, on the basis of the capacity they actually hold. Only produce a mark you are entitled to use.
The rest of the range is on the stamp and seal directory.
