University and college seals: the mark on a degree

A university has one seal and a drawer of stamps, and the line between them is not the department pressing them. It is the document: a seal goes on the thing that has to survive being presented to a stranger in another country in fifteen years, and a stamp goes on everything else.

The seal
Applied to degrees, diplomas, testamurs and sealed transcripts. It carries:
- The full legal name of the institution, as incorporated or chartered.
- The arms, crest or device the institution is entitled to.
- Often the year of foundation on the lower ring.
- Sometimes the Latin motto, which is decoration with a long history rather than information.
Its use is normally reserved by statute or by the institution's own charter and delegated to named officers. That is the point of it: a seal that anybody in the building can apply is not doing the job. See the university seal.
The stamps
The registry presses far more of these than it does the seal:
- Registrar mark, on official letters and confirmations of study. See the registrar stamp.
- Transcript mark, on each page of an issued transcript, which is what stops a page being swapped. See the transcript stamp.
- Certified true copy, on copies of certificates presented for verification. See certified true copy stamps.
- Examination mark, on scripts and exam paperwork. See the examination stamp.
- Received mark, with the date, on everything arriving at a counter. See the received stamp.
- College mark, where colleges within a university have their own. See the college stamp.
Why the transcript mark is the interesting one
A degree certificate is one page and hard to fake convincingly. A transcript is several pages of typed results, and the easy attack is not forging the whole thing, it is replacing one page. A mark applied to every page, ideally overlapping the edge, is what makes that visible.
The same logic applies to any multi-page document that gets sealed, which is why tender documents are stamped page by page. See sealing a tender document.
Verification, honestly
A seal on a degree tells a reader which institution issued it. It does not let them verify it, and anybody doing serious verification contacts the registry or a national verification service rather than examining the mark. That is the right process, and it is not a failure of the seal.
Which is worth saying to students who ask for extra stamps on a document: more marks do not make a document more verifiable. One correct mark and a working verification route does.

The honest limits
Estamplab is a design tool. This page describes common practice rather than giving legal or academic advice. What an institutional seal carries and who may apply it is set by the institution's charter, statutes or the authority that registered it, so check the requirement with them.
Only produce a mark your institution is entitled to use. Arms and devices are often protected in their own right.
The rest of the range is on the stamp and seal directory.
