What a rubber stamp actually costs, once you count the waiting

Any page that tells you exactly how much you will save by going digital is guessing, because the number depends entirely on how much you stamp and what an hour of your team's time is worth. Neither of those is knowable from here.

What is worth doing is the arithmetic properly, with your own numbers. It takes about five minutes and the answer is usually larger than people expect, for reasons that have nothing to do with the price of the stamp.

The visible cost

A self-inking company stamp costs somewhere between fifteen and forty of most currencies. Replacement ink pads are a few more. Call it a one-off purchase that nobody thinks twice about.

This is the number people compare against, and on this number a rubber stamp wins easily. If the comparison stopped here there would be no argument.

The costs nobody puts on the invoice

Waiting for it to be made. A custom die is typically two to five working days, longer if the wording has to be approved first. Every day of that is a day the paperwork it was ordered for is not moving.

Making it again when something changes. A new registered address, a new practising number, a rebrand, a new director whose name is on the stamp. Each of these means a new block and another wait. A firm that has changed address twice has paid three times.

One per location. A stamp exists in exactly one place at a time. A second office needs a second stamp, and now you have two dies that are supposed to be identical and drift, because they were cut at different times by different people.

The person who has it is not here. The stamp is in a drawer, and the drawer is in an office, and the person with the key is on leave. This is the cost that never appears in any calculation and delays real work constantly.

The print, stamp and scan loop. For any document that arrived as a file, applying a physical stamp means printing it, stamping it, scanning it back and binning the paper. Two minutes, generously, per document.

The arithmetic

Take four numbers you already know.

D = documents stamped per month M = minutes per document, if it involves printing and scanning. Two is conservative. R = loaded hourly cost of the person doing it C = number of times in the last three years you have had a stamp remade

Then:

Monthly time cost = D x M / 60 x R

Two hundred documents a month, two minutes each, at a modest hourly rate, is close to seven hours a month. That is most of a working day, every month, spent turning files into paper and back into the same files.

Annual reorder cost = C / 3 x (price of a die + the days of delay each time)

The delay is usually worth more than the die.

Then the one that does not fit an equation: how many times last quarter did something wait on somebody who had the stamp? Count it. That number is the actual argument, and it is invisible on any invoice.

What the digital side costs

Being straight about it, because a page that pretends its own product is free is not worth reading.

Designing and previewing here costs nothing and needs no account. The file is $1.50 for a single image format or $4.50 for every format zipped, paid once. A plan exists for people downloading regularly and is cheaper for them.

So for a single stamp used forever, the direct cost is under five of most currencies against fifteen to forty for a block. That is a real saving and it is the least interesting part.

The interesting parts are that the wait is zero rather than three days, that a change of wording is an edit rather than a reorder, that the same stamp exists in every office at once because it is a file, and that the print-stamp-scan loop stops existing for documents that were never on paper.

Where a physical stamp still wins

If the documents are paper somebody is physically holding, a rubber stamp is faster than any file will ever be. A counter with a queue at it should have a block on the desk. Nothing here changes that, and the arithmetic above assumes documents that arrive and leave as files. Run it against your own mix rather than ours.

The honest summary

The saving on the object is small and certain. The saving on the waiting is large and depends on you. Do the multiplication with your own D, M and R before you believe anybody's headline number, including this page's.
