A law office marks far more documents than it drafts. Every incoming letter gets a date, every case file copy gets a FILED, every bundle gets exhibit marks, and every certified copy gets the wording that makes it a certified copy. Most of that is pressed by a paralegal, not by a partner, and all of it has to look the same every time.

The personal seal

The one with your name on it. Whether it says Attorney at Law, Advocate, Solicitor, Barrister or Esquire depends on where you practise, and the layout follows the same logic everywhere: your name, your admission or practising status, and the number a register can be searched by.

People search for a justice stamp when they mean this one, and the number on it is the point of the whole thing. A bar number in the United States, a roll number in India and much of the Commonwealth, a practising certificate number in England and Wales. A seal without it is decorative; a seal with it is checkable, and the whole function of a professional mark is that somebody can check it.

Round seals carry the name curved around the ring with the number across the middle. Rectangular blocks carry the same information in four lines beside a signature. Both are conventional and neither is wrong.

The stamps the office actually presses

FILED, with a date. What went to the registry and when. This is the mark that settles a limitation argument.

ENTERED and RECEIVED, both dated. What came in, and when the clock started.

Attorney-client privilege, or Privileged and Confidential. Marked on the document at the moment it is created, not the week the discovery request arrives, which is the entire reason it is a stamp rather than a note.

Attorneys copy, or COPY. So that nobody signs the one that was never the original.

Exhibit marks. Exhibit A, Exhibit B, and a bundle that runs to two hundred pages. Numbering that increments by itself is worth more here than anywhere else in a law office, because a repeated exhibit number in a filed bundle is not untidy, it is a problem in front of a judge.

Certified true copy, with a signature and date line. Used more often than any other mark in a practice, and the one people most often use without reading what they are attesting to.

Why a law office in particular benefits from files rather than blocks

Exhibit numbering. A serial that comes from a counter cannot repeat. A number drawn into an image can, and does, at eleven at night before a filing.

The court copy is a PDF. Most registries now file electronically. Printing a document so you can stamp it and scan it back in degrades it and adds a step to something already on a deadline.

Two paralegals need the received stamp at nine in the morning. One physical block means one of them waits.

Consistency across a bundle. A judge reading two hundred pages sees the same mark on every one, which is the difference between a bundle that reads as prepared and one that reads as assembled.

The part a design tool cannot settle

What a professional seal must carry, and whether an applied mark is acceptable on a court filing, an affidavit or a deed, is set by the bar, the law society or the court rules where you practise, and it varies between jurisdictions more than almost anything else on this site. Several courts specify the exact form of a signature block on an e-filed document. Read your own rules before relying on any layout here.

It is worth having because of when it gets used. Marking a document as privileged at the moment it is created is a habit; marking it during a discovery exercise is an argument. A stamp makes the first one easy.
