Property is a stamped business, and a custom stamp for business is pressed here more often than in almost any other trade. An offer letter, a tenancy agreement, a rent receipt, a transfer form, a management instruction, a certified copy of a title deed: every one of them travels between an agency, a landlord, a lawyer, a bank and a registry, and at every hop somebody expects to see a company stamp on it. If you run an estate agency, a letting agency or a property management company, you press a stamp more often than you sign your own name.

The awkward part is that the paperwork stopped being paper and the stamp did not. The offer arrives as a PDF, the tenancy agreement is emailed, the bank wants a scanned copy the same afternoon, and the agency stamp is a rubber block sitting in an office somebody has to drive to. That gap is where deals lose a day at a time.
The stamps a real estate office actually presses
The agency company stamp. The round one with the agency name, the registration number and usually the city. This is the mark on offers, instructions, letters and anything that needs to say which company is speaking.
A rectangular office block with an address. Agencies send a lot of physical post and a lot of letters that need a return address, and a rectangular stamp with the agency name, address, phone and email does that in one press.
A received stamp with a date. Offers arrive in order, and the order matters when two of them land on the same property. A stamp reading Received with a date that fills itself in on the day is the cheapest dispute prevention in the business, and it costs nothing to press.
A paid or rent received stamp. Cash and mobile money receipts still exist in most markets. A receipt without a company mark is a piece of paper with a number on it.
A certified true copy stamp. Identity documents, title deeds, company documents for a corporate tenant. Anybody in property is handling copies of documents constantly, and a certified true copy stamp with a signature line and a date is the standard way to mark them.
A signature stamp for the principal. A branch manager signing forty tenancy agreements a week is signing the same three lines each time. A signature stamp with the name, the title and a date line keeps that consistent, and it goes beside the signature rather than instead of it.

Why a digital stamp beats the rubber one in property specifically
Not as a general principle, but because of how property work actually moves.
The document never becomes paper. A tenancy agreement drafted in Word, emailed as a PDF, signed on a phone and filed in a folder never needs to exist physically. Applying a stamp to it as a transparent PNG takes ten seconds. Printing it, stamping it, scanning it and emailing it back takes a printer, a scanner and fifteen minutes, and produces a worse looking document.
Several offices, one mark. An agency with three branches and one rubber stamp has two branches that cannot stamp anything. A digital company stamp is a file: every branch presses something identical rather than something similar, and a landlord comparing two letters sees one company.
Deals wait for signatures, not stamps. Somebody out on viewings all day is exactly the person whose stamp is needed on the offer at four o clock. A file on a phone or a laptop removes the trip back to the office. This is the whole argument, and everybody in property has lost a day to it at least once.
The date is not a guess. A received stamp whose date fills itself in on the day it is used records the day the offer landed. A rubber date stamp records whatever day somebody last turned the bands to, which is frequently yesterday, and a wrong date on an offer is not a small problem.
Nothing to lose or leave behind. A rubber stamp gets left in a car, lent to a colleague and eventually goes missing, and until it is replaced the office cannot stamp anything. A file does not go missing, and a locked account is a better custody story than a drawer everybody has a key to.
It looks the same on every document. Rubber gives you an impression that varies with ink and pressure. On a document a bank or a registry will scan, consistency reads as an organisation and inconsistency reads as improvisation.
What to put on a real estate agency stamp
The registered agency name exactly as registered, the company registration number, and the licence or agency registration number if your market issues one. A real estate broker stamp is a regulated business card in most countries, and a licence number on it is a small trust signal with a real effect: the person receiving the document can check it.
Add the city if you work across regions, and a date line if the stamp is going on anything time sensitive. Keep the logo simple if you use one, because an agency logo with a house outline and thin lettering turns to mush at 40mm and reads as a smudge on a scan.

Frequently asked questions
What stamp does an estate agency need?
At minimum a round company stamp with the agency name and registration number, and a received stamp with a date. Most agencies also want a rectangular address block, a rent received or paid stamp, and a certified true copy stamp for the identity documents and title copies that pass through every transaction.
Can I put our agency licence number on the stamp?
Yes, and it is worth doing in any market that licenses agents. It gives the person receiving the document something checkable, which is exactly what a stamp is for. Put the registration number and the licence number on separate lines so neither is squeezed.
Is a digital agency stamp accepted on a tenancy agreement?
For ordinary commercial documents between an agency, a landlord and a tenant, an applied stamp is what most parties already use and accept. Registry filings and formal execution of deeds are a separate question and the requirement depends on your jurisdiction, so check with the registry or the conveyancer for those specific documents. This is a design tool rather than legal advice, and you should only make a stamp for an agency you are entitled to represent.
How do I stamp a PDF offer letter?
Download the stamp as a transparent PNG, open the PDF in any editor that allows an image to be placed, and drop it where the signature block is. We have three branches. How do we keep the stamp consistent?
Design one, and share the file rather than the design. Every branch presses the identical mark, and if the agency name or the address changes you replace one file instead of ordering three rubber blocks and waiting a week for them.
Do we still need a physical rubber stamp?
If your market requires a physical stamped document at a registry counter, or if you hand over paper receipts, then yes, and you can hand a printer the vector file to cut one. For everything that arrives and leaves as a PDF, the physical block is a detour.
