Stamping a PDF is well documented. Stamping a Word document or an Excel spreadsheet is where people get stuck, and for a specific reason: Word and Excel both treat a picture as something that belongs in the flow of the document, and a stamp does not belong in the flow. It belongs on top.

Fixing that is two settings, one in each application. Here they are, plus the parts that only bite later, when somebody prints or filters.

Before either: get a transparent PNG

Both applications will happily insert a JPG, and a JPG has no transparency. What lands on the page is your stamp inside a white rectangle, sitting over the sentence you were attesting to.

Download the stamp as a transparent PNG and the problem never appears. This single choice fixes more Word and Excel stamping complaints than every layout setting combined. Transparent PNG explained, and the formats compared if you want the reasoning.

Word: Insert, then change the wrapping

  1. Insert > Pictures > choose your transparent PNG.
  2. It arrives locked into the line of text, pushing paragraphs apart. This is the default and it is wrong for a stamp.
  3. Select the image, open the layout options, and choose In Front of Text.
  4. Now drag it anywhere. It floats above the paragraph, ignores the text flow, and the document reads normally underneath.
  5. Drag a corner handle to size it. Corner handles keep the proportions; side handles distort the stamp, which on a round seal is immediately obvious.

Excel: the anchoring setting nobody finds

Excel behaves differently, and the difference matters more than most people expect.

An inserted picture in Excel does not live in a cell. It floats above the grid, and by default it is anchored so that it moves and sizes with the cells underneath it. That sounds helpful until somebody sorts the sheet, hides a column or applies a filter, and your stamp slides across the page or squashes into a strip.

  1. Insert > Pictures > your transparent PNG.
  2. Select it, open Format > Size and Properties, and go to the Properties tab.
  3. Choose the behaviour you actually want:

The rule of thumb: if the stamp refers to the document, pin it. If it refers to a row, let it move with that row.

Getting it to print on every page

A stamp placed on the sheet prints where it sits, once. If you need it on every printed page, put it in the header or footer: Page Layout, then Print Titles, then the Header/Footer tab, then Custom Header, and insert the picture there. Whatever goes in the header prints on every page, which is what you want for a company mark on a twelve page report.

Excel also lets you scale a header image, which matters because headers render smaller than you expect. Print one page before you send the file.

The watermark question

Excel has no watermark feature. What people call an Excel watermark is a picture placed in the header, which is the same mechanism as above. If you want a faint DRAFT or COPY across a printed sheet, build it as a stamp, set it in the header, and keep it light enough that the figures stay readable.

The three mistakes that account for most of the complaints

Screenshotting the stamp. A screenshot is a low resolution rectangle with no transparency, and it looks like one the moment anybody prints. Download the file instead.

Printing the document to stamp it by hand. Print, stamp, scan, re-send: four steps, a grey skewed image, and a file three times the size. The whole point of a digital mark is that this loop disappears.

Sizing by dragging a side handle. It stretches the stamp. On a rectangle you might get away with it; on a round seal the text distorts and everybody sees it.

How do I insert a stamp into a Word document?

Insert a transparent PNG through Insert then Pictures, select it, set the wrapping to In Front of Text, then drag it where you want it. Without changing the wrapping the image sits in the text flow and pushes your paragraphs around.

How do I put a stamp on every page in Word?

Place it inside the header rather than in the body. Anything in the header repeats on every page, including pages added later.

How do I add a stamp to an Excel spreadsheet?

Insert the picture, then open Format, Size and Properties, Properties, and choose the anchoring. For a company stamp on a report choose "Don't move or size with cells" so filtering or sorting cannot move it.

Why does my stamp move when I filter my Excel sheet?

Can I use the same stamp file in Word, Excel and PDF?

Yes. One transparent PNG works in all three. Keep the SVG as well: it is the version to send an engraver, and the one to scale from if you ever need the stamp much larger.

Should I stamp the Word file or export to PDF first?

If the document is final, export to PDF and stamp that, because a PDF is much harder for the recipient to edit around the mark. Stamping a PDF covers that route, and the PDF tool does it in the browser without uploading the file.

Only use the stamp you are entitled to use. Reproducing the mark of a notary, a government office or a professional body without holding that position is not design work, it is forgery, and it is prohibited and prosecuted as such.
