A date stamp is the one that turns a mark into a record. Without it a document says something happened; with it, it says when, and every dispute about timing that a business has ever had would have been shorter for one.

The types of date stamp
The trade calls the whole family daters, and a shop will sell you a self inking date stamp, a rotary stamp where you turn a wheel, or a band stamp where you thumb a rubber belt for each digit. What all three have in common is that somebody has to set them, which is the entire reason a stamp with date so often carries the wrong one.
The band date stamp
The classic. Rubber bands for day, month and year rotate on a spindle inside a self-inking housing, and you turn them by hand with a thumbwheel. Twelve months, thirty-one days, and usually ten or twelve years on the year band.
Always self-inking, because the bands have to move: a pre-inked die cannot carry them. The self-inking date stamp page covers the layout.
The dial or dater
Same idea in a different body, usually a heavier frame with a larger date and space for wording above and below it. Common on counters where the mark is read across a desk.
The combination stamp
A date band inside a bordered word: RECEIVED, PAID, POSTED, ENTERED. One press puts the status and the date on the page together, which is what makes it a record rather than a note. The common ones here are RECEIVED with the date, PAID with the date and APPROVED with the date.
The numbering-and-date stamp
A date band plus a mechanical counter that steps on each impression. Used where receipts or dockets have to be accounted for in sequence. The digital equivalent is the auto-numbering stamp, and it has no counter to jam.
The digital date stamp
No bands. The date is a field: leave it empty and it takes the day the stamp is used, or set one and it stays. The date stamp generator and the automatic date stamp generator both do it, and in the Word download the date stays editable text rather than being baked into the picture.
Why a band date stamp prints the wrong day
Because somebody has to turn the bands, every morning, forever.
It is nobody's job, it takes four seconds, and it is the first thing forgotten on a Monday or after a holiday. The stamp then prints last Friday onto everything it touches, confidently, until somebody notices. And the mark carries no sign that anything is wrong: a wrong date looks exactly like a right one.
That is a real failure with real consequences on anything with a deadline, and it is the whole subject of why your date stamp shows the wrong date. It is also the single clearest argument for the digital version, which cannot be wrong about the day because nobody sets it.

Which date format to use
Write the month, do not number it. 12/06/2026 is the twelfth of June to most of the world and the sixth of December in the United States, and on a document that crosses a border that ambiguity is a genuine problem.
12 JUN 2026 cannot be misread by anyone. Where a numeric format is required, 2026-06-12 is the ISO order and sorts correctly as text, which matters if the date is ever read by a machine.
Where a date stamp earns its keep
The rotating kind, sometimes sold as band stamps, are the ones this matters most for, because the bands are what somebody has to remember to turn.
- Inbound post and counter receipts, where the arrival date settles whether something was in time.
- Invoices, so payment terms run from a fixed point.
- Approvals and sign-offs, where the sequence of who approved what and when is the record.
- Goods received and delivery notes, at the moment responsibility changes hands.
- Inventory and stock counts, taken on a schedule.
- Permits, notices and anything with a deadline attached.
Common questions
How do I change the date on a self-inking date stamp?
Turn the bands with the thumbwheel on the side of the housing until the day, month and year read correctly, then test on scrap paper before using it. Do it at the start of the day rather than when you next need it.
Why does my date stamp show the wrong date?
Because the bands were not turned. It is the only failure mode a band stamp has and it happens constantly, particularly after a weekend or a holiday.
Can a date stamp fill in the date automatically?
A physical one cannot: the bands are mechanical. A digital one can, and does by default here, taking the day it is used unless you set a date yourself.
Can I still edit the date after downloading?
In the Word download, yes: the date is editable text rather than part of the picture. In the PNG and SVG it is fixed at the point of download, because those are images.
What size is a date stamp?
Around 56 by 22mm for a rectangular dated mark, 38 to 40mm for a round one with the date in the middle. Stamp shapes and sizes has the detail.
