The four stamps every small business actually needs

Most small businesses own one stamp, usually the company one, ordered when the business was registered and used for everything. Four marks do the actual work, and three of them are cheaper and more useful than the one everybody buys first.
1. The address stamp
The highest-volume mark on any desk, and the least glamorous.
An address stamp carries the business name and the address, sometimes the phone number, website or a small logo. It goes on envelopes as a return address, on letterheads where the paper is plain, on forms that ask for your details in a box, on packing slips, on the back of anything posted.
What it saves is not time on any one document. It is the accumulation: a business posting thirty items a week and writing the return address by hand is spending real minutes on it every week, and hand-written return addresses look like what they are.
Two variants are worth having. A full one with everything, and a short one with just the name and the town for tight boxes. A name stamp covers the second case.
Rectangular, three to four lines, around 55mm by 20mm. Straight stacked lines, nothing curved, because this mark is read rather than admired.
2. The date stamp
The one that turns a mark into a record.
A date stamp puts the date on the document, and on its own that is the difference between "we received this" and "we received this on the 12th". Every dispute about timing that a business has ever had would have been shorter if the paperwork was dated.
Physical date stamps use rotating bands for day, month and year, which is why they are always self-inking: the bands have to move. The bands are also why people stop trusting them, because a band that was not rolled over yesterday morning prints yesterday's date on today's document. A digital date stamp does not have bands. The date is a field, and it is either today's automatically or one you set. The date stamp generator does both, and the automatic date stamp generator sets it from the clock.
Where the date matters most:
- Invoices and remittances, so payment terms run from something.
- Anything received at a counter or opened in a post room.
- Approvals and sign-offs, where the sequence of who approved what and when is the record.
- Contracts, alongside the signature.
- Inventory, deliveries and goods received.
- Permits, notices and anything with a deadline attached.
Most usefully, combine it: RECEIVED with the date, PAID with the date, APPROVED with the date. One press, two facts.
3. The signature stamp
The one that saves the most time and gets the least thought.
If your day involves signing off the same routine paperwork repeatedly, approvals, delivery notes, internal forms, packing slips, timesheets, a signature stamp turns thirty signatures into thirty presses. It reproduces your actual signature, so the document looks the way it is supposed to.
Two rules make this safe rather than reckless.
Do not use it on anything consequential. Contracts, deeds, guarantees, cheques and anything with legal or financial weight get a real signature. A signature stamp is for routine internal paperwork where the mark says "yes, I saw this" rather than "I am bound by this".
Control it. A signature stamp in an unlocked drawer is a signature anybody in the building can apply. That is a genuine risk with a physical die and a solvable one with a digital file, which lives in an account rather than a drawer.
The strongest version pairs the signature with a name and title line beneath it, so the reader knows who signed as well as that somebody did. A date line alongside makes it a record rather than a mark.
4. The bank stamp
The one that pays for itself first.
If your business receives cheques, a For Deposit Only endorsement restricts them to your account the moment they are opened, which means a cheque that goes astray afterwards cannot simply be cashed. It is the cheapest fraud control a small business has and most of them do not have one. If you do not handle cheques, the finance-desk equivalent is a PAID mark with a date, applied to an invoice the moment it is settled. Duplicate payment of the same invoice is a more common loss than most businesses ever discover, and a dated PAID mark on the file copy is what stops it.

Why none of them has to be rubber
Four stamps ordered as physical dies is four orders, four lead times and four reorders every time the address, the phone number or the signatory changes. It is also four objects that only work when you are standing next to them.
Made digitally, the same four marks are files. They go on a PDF invoice, into a Word document, onto a form filled in on a phone at a client's office, and onto a printed page if you print the page. They cost nothing to keep variants of, they update in place when the address changes, and the date on them is never yesterday's because nobody forgot to roll a band.
The one thing they do that a rubber stamp cannot is number themselves. A serial number on a receipt, an approval or a certificate ties each impression to one document, which is how you close the gap between "we stamped it" and "we can show which one we stamped". Common questions
What stamps does a small business need?
Address, date, signature and a bank or PAID mark cover the routine work. A company stamp sits alongside them for identity, and status marks like DRAFT and CONFIDENTIAL prevent specific accidents.
Is a signature stamp legally binding?
It can be evidence of authorisation, and it is not the same as a signature applied by hand with intent. Keep it to routine paperwork and sign anything consequential yourself. Where it matters, the counterparty's view of it matters more than yours.
