An electronic rubber stamp is the impression without the die. The same wording, the same round or rectangular layout, the same red or blue ink look, produced as a file and applied to a document on screen instead of pressed onto paper.

The phrase sounds like a contradiction, and it half is. A rubber stamp is two separate things: a mark, and a machine for getting that mark onto paper. When the paper goes away the machine has nothing left to do, but the mark still has a job. That is the whole idea.

For the physical article, its types and its parts, see rubber stamps explained. For what the words electronic stamp, electronic seal and e-stamp each mean, see electronic seals, electronic stamps and e-stamps.

What carries over from a rubber stamp

More than people expect, and this is why the switch is usually painless.

What you drop when the rubber stamp is electronic

Making it look pressed, not printed

Here is the part most online stamp tools skip, and the reason a lot of digital stamps look wrong on a document.

A rubber stamp impression is uneven. The ink is heavier where the die met the paper hardest, lighter at the edges, and broken where the rubber has worn. That texture is what your eye reads as a stamp. A perfectly smooth vector circle with clean type reads as a graphic somebody added, which is a different signal.

So there are two looks, and both are right for different jobs:

Clean and flat. For a company mark on an invoice or a contract, where the point is legibility and the mark is doing identification. Nobody is pretending it was pressed.

Textured and worn. For a mark that is meant to read as an impression: RECEIVED on a scanned form, a date stamp on an internal record, anything sitting alongside other physical marks on the page. The rubber stamp effect generator adds the ink break and the uneven edge deliberately.

Choosing between them is a judgement about what the document is for, not a quality setting. A worn look on a formal certificate looks careless; a flat look on an office RECEIVED stamp looks pasted on.

Making an electronic rubber stamp online

  1. Start from a template rather than a blank canvas. The stamp templates cover company, date, approval, professional and office marks, and each opens straight into the editor.
  2. Type your wording. The curved text refits itself around the ring as the name changes length.
  3. Add a logo if you have one. The white background is removed so it reads as ink rather than as a white card sitting on the page.
  4. Set the date to fill itself in if the stamp carries one, instead of typing today's date into it.
  5. Pick clean or worn, per the section above.
  6. Download it. A transparent PNG for documents and email, an SVG or print-ready PDF if a maker will cut a die from it later. Stamp file formats covers which does what.

The longer walkthrough is create a digital stamp.

When you still want an actual rubber stamp

Being straight about it, because the answer is not always a file.

For those, design the artwork here and take the vector to a maker. A print-ready file is a far better brief than a photograph of your letterhead, and how rubber stamps are made explains why they need the vector. The five ways to get one made are compared in where to make a custom stamp.

Most offices end up with both: rubber at the front desk, a file for everything that arrives as a PDF.

Common questions about electronic rubber stamps

What is an electronic rubber stamp?

It is the impression without the die: the same wording, layout and ink colour as a physical rubber stamp, produced as a file and applied to a document on screen. A rubber stamp is a mark plus a machine for putting that mark on paper, and when the paper goes away only the mark still has a job.

How do I make an electronic rubber stamp online?

Start from a template, type your wording, add a logo if you have one, and set any date to fill itself in on the day the document is used rather than typing today's date. Then choose whether the ink looks clean or worn, and download it as a transparent PNG.

Can I make an electronic rubber stamp for free?

Designing and previewing are free with no account, and nothing is watermarked in the editor, so you can see the finished mark before deciding. You pay only when you download the file. That way you find out whether your wording actually fits the shape before any money is involved.

Can an electronic stamp look like a real rubber stamp impression?

Yes, and for some documents it should. A real impression is uneven, heavier where the die pressed hardest and broken where the rubber has worn, and that texture is what the eye reads as a stamp. A worn ink effect adds it deliberately. For a company mark on a contract, the clean flat version is usually better.

The honest limits

Estamplab is a design tool. This page describes common commercial practice rather than giving legal advice, and whether a document is accepted with an applied mark rather than a wet impression is set by the authority or the counterparty receiving it, so check the requirement with them.

Only produce a mark you or your organisation are entitled to use. Recreating somebody else's stamp from a document you received is forgery, whatever it is made of.

The rest of the range is on the stamp and seal directory.
